We believe you should stay with us because of our service, not because of a contract. There is no long-term commitment required to use our record storage services. You have the flexibility to store your records for as long as you need, whether that is a few months during an office renovation or decades for legal archiving.  

Pay Only for What You Store

Our billing is transparent and fair. Your storage charge is computed based upon the actual number of cartons stored. As your volume changes, costs are adjusted accordingly. If you retrieve 50 boxes and shred them, your bill goes down the next month. You never pay for empty shelf space.

Our Record Storage Process

1. Assessment and Packing

We assess your current filing situation. You can pack your files into our standard cartons, or we can assist with the packing process. We ensure every box is labeled clearly.

2. Bar Coding and Indexing

We apply unique bar codes to your cartons. We can also index the files at the file-folder level if you require granular tracking. This data is entered into our inventory system.

3. Secure Transport

Our uniformed drivers pick up your records using our secure fleet. We transport them directly to our record center.

4. Shelving and Management

Your boxes are scanned onto their assigned shelves. They remain there, secure and monitored, until you need them.

5. Retrieval and Delivery

When you need a file, you contact us. We scan the box out of its location and deliver it to you according to your requested timeline (Standard, Rush, or Emergency).

Tips for Effective Record Management

Create a Retention Schedule

Do not store everything forever. Establish a clear retention policy that dictates how long specific types of documents (tax records, employee files, contracts) must be kept. This reduces your storage volume and legal liability.  

Use Standard Record Cartons

Avoid using copy paper boxes or miscellaneous moving boxes for long-term storage. Standard record cartons (1.2 or 2.4 cubic feet) are designed to fit on shelving units efficiently and are strong enough to prevent collapsing.  

Index Your Contents

Create a list of the contents for each box before you seal it. Entering a general description (e.g., "2023 Invoices A-F") into our system makes retrieval much faster than labeling a box simply "Files."
